Office Manager

Reporting to: General Manager

Job description:

  • Contacting and administrative monitoring of external service providers, contracts, invoices, and work processes
  • Support with corporate law matters relating to the company
  • Contacting external service providers (e.g. landlords, suppliers, insurers, etc.) 
  • Cooperation with the company's IT service provider on office-related IT issues
  • Support with onboarding new employees - can be omitted with the following addition
  • Support with onboarding new employees and administration of HR matters Berlin (Admin Well pass / info for tax office, BVG ticket admin etc.)
  • Preparation and review of reports and presentations
  • Coordination of general office administration and procurement
  • Coordinate local health and safety responsibilities (including relevant training and agenda)
  • Managing diary, planning meetings, preparing meeting minutes, agendas, travel arrangements, assisting with in-person meetings, etc.

The requirements profile:

  • Completed commercial training, e.g. as an office management assistant, office clerk, hotel specialist or a comparable qualification
  • Professional experience and knowledge of the real estate industry an advantage
  • Strong team spirit and a good level of stress resistance
  • Strong service orientation
  • Organizational talent and good communication skills
  • Proficient in using the MS Office package
  • Good knowledge of English is an advantage
